Can we pay for guests for the banquet there? Or do we need to pay in advance? Thanks.

What do you expect? You think he can just go to the owners of the track and tell them he wants a partial refund because you couldn't make it?
You aren't the first person to lose money because you couldn't make it to an event, and you won't be the last.

The event is on 12th and 13th and you decided not going on the 11th. Sorry.... but you really can't expect a refund with this short of a notice.
ALL clubs that I know of require at least 5 to 10 days cancellation notice.
Please understand that your packet was already put together, banquet spot reserved, instructor assigned, run group assigned, vinyl numbers made, all of work was already done for you.

Was also written that May 29th was the cutoff date for all changes. We were lenient on that this year by letting it go all the way up until about 5 days before the event.
Sorry about that, but we really can't do anything. It's all paid for already.

you missed out on a great time.. dont know why you missed it.. but you should have gone and made use of that money. It definitely went to a good cause and a good weekend for everyone.
